Job Description 

Summary: Reporting to the Director of Corporate Partnerships and Conferences, the Manager coordinates all aspects of a group tour so that clients have a positive experience at Wave Hill. He/she provides onsite support to conferences and photo shoots.

Responsibilities:
• Create and maintain a Group Tour database and business development methods including outreach to increase tour revenue
• Coordinate and process reservations, contracts, and payment record keeping using Altru reservation and payment system.
• Responsible for Group Tour monthly revenue and statistical reporting
• Develop and maintain Group Tour protocols and procedures
• Coordinates with scheduler to assign Garden Guide volunteers as leaders for tour groups
• Serves as on site tour group primary contact, providing service to Group Tour Clients by answering questions, providing information, making referrals, and assuring appropriate follow-through and/or resolution
• Works cross departmentally insuring logistics for group tours and conferences are communicated and planned to minimize garden impact
• Provide onsite support to conference and photo shoot clients as needed, including AV support
• Provide general support in overall office operations, set up plans, assignments, and projects
• Respond to questions regarding overall departmental policies, procedures, and practices
• Leads onsite client walkthroughs and fills in for Director as necessary
• Flexible schedule including occasional evenings and weekends
• Other duties may be assigned as needed

Duties & Responsibilities 

Qualifications:
• Bachelor Degree required
• 1 to 2 years’ experience with customer service, group tours, or hospitality
• Previous experience managing a team
• Basic AV knowledge including sound systems and projectors
• Welcoming, out-going and professional demeanor
• Excellent communication and writing skills
• Experience at a cultural institution a plus.
• Detail-oriented; proficient in Excel & Microsoft Suite
• Works well within a team environment

Education and Experience 

• Bachelor Degree required
• 1 to 2 years’ experience with customer service, group tours, or hospitality

Salary & Benefits:
• The salary range is $35 to $40K, based on experience. Medical, dental, vision, paid time off and a 401k with a pension plan.
