Job Description 

Position Title: Visitor Services Manager
First Line Report: Gardens Director
Supervises: Receptionists, Custodians, Seasonal Staff & Volunteers
Employee Status: Full-Time, Tuesday through Saturday
Exempt/Non-Exempt: Exempt

SUMMARY – The Visitor Services Manager is responsible for the oversight and care of the Davis Education & Visitor Center, guest and facility services, supervision of staff and oversight of contractors and vendors. The incumbent is responsible for the successful coordination of all public and private events held at Fellows Riverside Gardens. This position is suitable for transitional duty.

Duties & Responsibilities 

PRIMARY RESPONSIBILITIES

Supervision of Related Personnel and Facilities (35%)
-Provide leadership, direct supervision and support to assigned employees and volunteers
-Participate in the hiring, managing, disciplining, training and scheduling of Fellows Riverside Gardens staff
-Monitor and adjust staffing levels to ensure public and facility needs are met
-Review, approve and maintain all necessary records, including but not limited to time cards, program records and purchase orders
-Ensure facilities and structures are safe, clean and attractive, inspect rental facilities and equipment for damage/wear and facilitate special cleaning/repair/replacement as needed
-Serve as acting Gardens Director in his/her absence
-Assist the Gardens Director with facility goals and objectives including sales, maintenance, accounts receivable, accounts payable and vendor relations
-Oversee Gardens’ Library operations
-Responsible for overseeing contractual preventative maintenance and repair of departmental equipment and Visitor Center facilities including HVAC, elevator and other building systems

Visitor/Event Services Coordination (35%)
-Promote, develop and coordinate visitor services for all rentals and events held at Fellows Riverside Gardens
-Provide potential customers with relevant information and resources including facility rules, regulations and room layout options
-Oversee event set-up including coordinating pickups and deliveries (rental companies, florists, etc.)
-Facilitate booking of events and rentals via web-based reservation system
-Direct customers to exclusive on-site caterer as appropriate
-Regularly follow up with customers to ensure high-quality services were received

Departmental Functions (30%)
-Assist the Gardens Director in developing, implementing and monitoring the Annual Plan of Operations and corresponding Annual Budget
-Assist in ensuring departmental compliance with all MetroParks operating policies and procedures
-Assist in administering third-party vendor (including Garden Café/Catering contract) and contractor agreements
-Serve as primary liaison between Mill Creek MetroParks and café tenant/preferred caterer
-Present to the public, civic groups and other organizations to promote Fellows Riverside Gardens, its facilities and its services
-Maintain records of all necessary items in accordance with local, state and federal safety laws
-Other duties as assigned by the Gardens Director

JOB REQUIREMENT

The Visitor Services Manager is required to be available as the situation warrants. Events may require working evenings, weekends, holidays or other times outside of what is considered a normal schedule. Typical periods of work may routinely exceed 40 hours per week.

Education and Experience 

EDUCATION/QUALIFICATIONS
-Minimum of a Bachelor’s Degree in Hospitality Management, Business Management, Event Planning, Operations Management or related field from a four (4) year accredited University or College
-Minimum of three (3) years’ progressive experience in the management, maintenance and/or operation of a business, visitor center, public facility, food or lodging industry facilities or other related venue
-Minimum of three (3) years’ demonstrated supervisory experience
-Must possess and be able to maintain a valid Driver's License

ESSENTIAL KNOWLEDGE, ABILITIES AND SKILLS
-Must be highly organized, efficient and capable of managing numerous clients, projects and personnel simultaneously
-Must be able to maintain confidentiality as warranted
-Must possess excellent communication skills in both verbal and written forms, with the ability to effectively reach a variety of audiences in various formats
-Demonstrated knowledge of event planning and management
-Must exhibit the ability to be part of a team and work with various disciplines in a collaborative approach in order to reach the goals of the organization while maintaining a continuous positive attitude and professional appearance and demeanor
-Must possess proficient technological skills and abilities in the operation of standard computer equipment and software including Microsoft Office, Adobe Creative Suite, online reservations systems, internet searches, smart phone capabilities and time tracking software
-Ability to plan, forecast, monitor and implement strategies in order to sustain long term operations and maintenance objectives

PHYSICAL REQUIREMENTS NECESSARY TO PERFORM JOB FUNCTIONS
-Must be physically able to perform all tasks inherent to the position
-Ability to walk, traverse or otherwise access trails of all types, natural terrain, construction sites and all properties under control of Fellows Riverside Gardens under all types of conditions
-Ability to stand, sit, bend, kneel or stoop for extended periods of time
-Hand dexterity, ability to grab, push, pull and type
-Regular and predictable attendance
-Ability to lift 25+ pounds
-Ability to use computer workstation, including keyboard and visual display terminal, for extended periods of time
