Longwood Gardens is seeking an Administrative Assistant with excellent customer service skills and proven success working as part of a team. This position will provide administrative and clerical support to the Accounting and Human Resources Divisions.
The Administrative Assistant must have basic accounting skills, in addition to a working knowledge of principles and practices of organization, planning, records management, and general administration. Responsibilities include processing vendor invoices for payment, contacting vendors to resolve billing questions, obtaining Form W9s from vendors, and issuing 1099MISC forms under the Accountant’s supervision. Additional duties include invoicing third parties for all Accounts Receivable due Longwood Gardens, assisting with managing HR records including confidential records, and providing clerical and administrative support such as coordinating meetings, greeting guests, and preparing internal and external correspondence. This position also provides back-up coverage for the Department’s Senior Administrative Assistant.
Minimum qualifications include a High School diploma/GED with a minimum of 2 years of experience working in an office environment. Must be proficient in Microsoft Office Word, PowerPoint and Outlook and have strong proficiency in Excel to at least the intermediate level (formulas, graphs, etc.). An Associate degree or some college course work including accounting related courses is strongly preferred. The successful candidate will possess excellent time management and organizational skills, strong attention to detail and the capacity to plan and prioritize work. This position requires basic mathematical skills and knowledge of accounting and financial principles, strong data entry skills, and the ability to maintain a high level of confidentiality and exercise discretion.
