Job Description 

This position provides front-line service to guests and venue users and maintains a high-caliber guest experience. The Events and Venue Coordinator will actively promote the Garden’s programs and activities to cultivate repeat visitors, members and donors. S/he will actively sell and represent the venue to a diverse audience of clients, including both external and internal, i.e., venue rental clients, board directors, staff, volunteers, key partners and contractors.

Duties & Responsibilities

• Support the guest experience from the venue user’s perspective by establishing, inspiring and maintaining the Botanical Garden’s guest experience brand as a core component of the organization’s strategic priorities and daily operations
• Partner with the Events and Venue Manager to sell the Botanical Garden as a top rental destination to a diverse group of clients
• Effectively anticipate and promptly respond to the needs of venue clients, vendors and guests, along with communicating their concerns to the Events and Venue Manager
• In partnership with the Events and Venue Manager, schedule, coordinate and support the rental and use of the venue for internal and external groups, including facility service operations, internal mission-driven users and external venue rental clients
• Process and track payments for venue clients
• Serve as the primary point of contact for vendors, including collecting payments, required documentation and any escalated concerns to ensure total compliance with the Botanical Garden contracts, rules and regulations
• Provide front-line services to guests and venue users
• Maintain a welcoming environment and demeanor while servicing guests in person, on the phone or via email with all rental, admission, membership and program registration requests
• Assist in the day-to-day operations, including opening and closing the facility, answering phones and directing phone calls
• Actively participate in the collection, recording and analysis of visitor data statistics
• Be knowledgeable of and actively promote Botanical Garden offerings and experiences to guests that meet their needs in order to foster repeat visitors, memberships, program attendees and donors
• Collaborate with the Education and Horticulture teams to identify opportunities for programming and interpretation for the gardens and collections
• Effectively communicate with a diverse group of stakeholders, visitors and patrons
• Manage multiple short-term and long-term priorities in an effective, organized manner
• Perform other duties as assigned by Events and Venue Manager

Education and Experience 

The requirements listed below are representative of the knowledge, skill, and/or ability required for this position.

Education and Experience
• High School Diploma or equivalent required
• Associate’s or bachelor’s degree in a business, administration, marketing or hospitality field preferred
• Minimum of one year of experience in a guest/customer services function at a cultural attraction or in a corporate environment
• Event planning or hospitality services experience preferred
• Experience with point of sale and donor database software preferred

Skills and Abilities
• Excellent communication skills, both written and verbal
• Strong organizational skills
• Working knowledge of Microsoft Office suite
• Ability to work independently as well as in a team environment
• Ability to apply basic mathematical concepts such as algebra, geometry and monetary transactions
• Ability to solve complex problems and independently make decisions
• Ability to successfully pass a criminal background check

Licenses and Certifications
• Valid Drivers’ License preferred
