Position Title: Operations Manager
Status: Full time, Exempt, Benefited
Salary / Rate: $37,440 - $49,920 salary, depending on experience
Typical Schedule: Thursday - Monday
Reports to: Executive Director

Organization Summary
Crystal Springs Rhododendron Garden is a partnership between Portland Chapter of the American Rhododendron Society (PCARS) and the City of Portland. PCARS is the employer for this position. Situated on 9.5 acres in Portland, Oregon, Crystal Springs Rhododendron Garden showcases rhododendrons, azaleas, and many other companion species in a serene and ecologically diverse garden. Crystal Springs celebrated 70 years in 2020.

Position Summary
The Operations Manager oversees the day-to-day operations of Crystal Springs Rhododendron Garden, one of Portland’s most beautiful and cherished public gardens. This position provides leadership for the gatehouse staff and establishes a strong culture of exceptional customer service. This is a full time, salaried - exempt position with benefits, included paid holidays / holiday pay and sick leave.

Duties & Responsibilities 

Key Responsibilities:
On-site team leader for Crystal Springs front-of-house staff with approximately four to five direct reports.
Oversees opening and closing procedures at the garden, including site preparation, financial procedures (including best practices in cash handling and balancing), and supplies for the gatehouse and staff.
Instills and embodies exceptional customer service to all visitors and members.
Manages visitor information and ticketing inquiries via telephone and email. Responds to customer complaints and feedback, elevating when necessary to garden leadership.
Serves as the primary monitor for public safety issues at Crystal Springs, including incident reports and communicating with the City of Portland where appropriate on public safety concerns.
Communicates with City of Portland staff on garden needs and supplies within the purview of Portland Parks and Recreation, Bureau of Environmental Services, and Urban Forestry.
Communicates with key vendors on garden access and work.
Models and instills a culture of open communication and integrity with the gatehouse team, ensuring that all direct reports experience being heard, valued, and appreciated.
Schedules gatehouse staff and monitors hours to ensure compliance with organizational policies and procedures.
Provides break and shift coverage for staff as needed.
Provides support to the Executive Director and other staff as needed and directed.
Recruits, hires, and trains gatehouse staff.
Connects with Crystal Springs volunteers, showing appreciation for their work.

Education and Experience 

Requisite Skills and Competencies
High school diploma or equivalent, Bachelor’s degree preferred.
Two years of demonstrated customer service leadership and supervisory experience.
One year of experience in cash control, including bank deposits.
Appreciation for horticulture, knowledge of rhododendron genus is a plus.
Excellent communicator.
Ability to maintain composure in high stress situations.
Two years experience with POS systems, Nonprofit CRM experience a plus.
Ability to stoop, bend, and lift up to 20 lbs.
CPR/AED/First Aid Certification required, or willingness to obtain certification as a condition of employment at employer’s expense.
Able to work outdoors in various weather conditions including heat, cold, and rain.
