Reservations Specialist

Department: Visitor Services
Reports to: Membership & Retail Operations Manager
Location: Wheaton, IL


Cantigny Park is offering an exciting opportunity to manage group trips and event registrations. The Reservations Specialist plans and coordinates itineraries for all group programs, including adult and school tours, scout visits, and campsite overnights. This position also manages phone and mail registrations for other special events, offers and sells memberships, classes, and programs. The ideal candidate is enthusiastic, has impeccable attention to detail, and experience in sales and customer service. We are looking for someone to display the highest standards of service and expertise that typify the Cantigny Park experience. This is a full-time position that reports to the Membership and Retail Operations Manager.

Duties & Responsibilities 


Group Trips & Camping Overnights
• Plan, coordinate, schedule, customize, and communicate all options to group reservation inquiries, including school tours, scout visits, overnight camping, charter companies, and special interest groups
• Send out documentation required to book a group trip or camping overnight in a timely manner and update records daily
• Inform educators and staff of changes, trends, and updates
• Greet school groups when applicable to maintain and build relationships with school educators
• Oversee bus reimbursement program
• Serve as a liaison to ensure accurate information is presented on the Cantigny Park website, print materials, any other internal and external information involving group trips and camping, and proactively provide edits/updates to media outlets

General Event Registrations
• Accept and process all phone or mail registrations for educational classes, special events, concert tickets, photo permits, membership sales, and other requests, including Cantigny Park employee related events
• Maintain proper cash controls with phone and mail orders
• Provide accurate and timely information pertaining to Cantigny operations by answering the main telephone line, forwarding phone calls, and taking messages

Membership & Honor Club Sales
 Promote and sell Cantigny Membership to visitors by explaining the benefits and value of their support to Cantigny Park in a way that resonates with them
 Demonstrate superior customer service skills by upselling programs, classes, and events to members and visitors to ensure they are aware of everything the park offers
 Understand and keep current on all membership levels and benefits
 Assist with sending renewal reminders and printing cards in a timely manner
Customer Service & Administrative Duties
• Become knowledgeable and keep current on a wide range of information about the McCormick Foundation and Cantigny Park (programs and classes, dining facilities, special events, rules, and regulations) to answer questions of staff and visitors
• Sustain strong member and visitor relationships
• Communicate any functionality problems or updates to the appropriate party as it relates to website, program registration, or any other related issues
• Represent Cantigny in a professional, positive and helpful manner
• Participate in an ongoing professional development program with the guidance of the supervisor
• Identify trends and suggest changes to supervisor
• Update Child Safety list for all employees, book meeting space, ensure policy is current, and prepare necessary documentation for Child Safety presentations
• Track and process donation requests
• Update the main phone line for Cantigny Park as needed
• Actively update the employee phone list

Education and Experience 


• Bachelor’s degree in business administration, marketing, or related field
• At least two years of work experience in group sales, customer service, or administration
• Strong computer skills (MS Office Suite and Versai)
• Strong interpersonal skills and customer service orientation; must find satisfaction in working with the public and possess an outgoing, friendly, courteous, and enthusiastic personality
• Decisive and proactive; operates as a take-charge self-starter with adaptive ability to prioritize and manage projects
• Detail-oriented, inquisitive, and thoughtful
• Team player, with the ability to work independently when needed
• Demonstrated passion for the Foundation’s values with commitment to deliver results measured against the Foundation’s mission
• Must become trained in First Aid, CPR, Automated External Defibrillator, and attend Cantigny Park’s Child Safety Training
