Job Description 

Background and Mission

Bowman’s Hill Wildflower Preserve (the Preserve) was founded in 1934 with a mission to inspire the appreciation and use of native plants by serving as a sanctuary and an educational resource for conservation and stewardship. It is a member-supported nonprofit organization that has come to be recognized as a local treasure, a state resource and a national institution. Known regionally for its community-based programming, it is considered a statewide source for wildflowers and is the only accredited museum in the nation focused exclusively on native flora.

Position Summary

The Business Manager is an integral part of the Preserve staff, providing crucial administrative, financial, operational and human resources support to the Executive Director and staff to facilitate efficient operation of the organization. The position is responsible for managing human resource needs, including payroll, benefit management, maintaining personnel records and supporting the recruitment, hiring and orientation processes. In addition, the Business Manager serves as the point of contact for both commercial and health insurance providers, legal counsel, and is the authorized representative for several of the organization’s financial accounts. The Business Manager reports to the Executive Director.

Duties & Responsibilities 

Financial Management
o Signatory for all company bank accounts
o Authorized representative for company credit cards
o Transfers funds between investment fund accounts and other institutions

Insurance Management
o Contact person for commercial and health insurance providers
o Reviews insurances annually with Executive Director and insurance providers
o Reports all incident reports, workers’ compensation claims, etc. within 24 hours to insurance providers
o Obtains, tracks and maintains Certificates of Insurance from vendors and contractors
o Coordinates and executes the annual insurance audit with the insurance auditor

Legal Management
o Point of contact for legal counsel
o Maintains records pertaining to all legal matters 

Human Resource Management
o Contact person for payroll provider
o Maintains employee timesheet records and salary information
o Provides Bookkeeper with payroll information and maintains physical files
o Provides, reviews and submits new hire packet and essential paperwork for new employees
o Manages employee enrollment in health insurance and benefits
o Tracks and maintains employee health insurance contributions information
o Manages security clearances and background checks for new employees
o Coordinates new employee security access with security provider
o Onboards new employees, including review of the employee handbook, a tour of the facilities and staff introductions
o Contact person for 401(k) retirement plan

Other duties as assigned

Education and Experience 

* Strong attention to detail
* Superior communication skills, both written and verbal
* Demonstrated ability to work well independently and with competing priorities
* Proficiency in Microsoft Office and Google Suite
* Bachelor’s degree and experience in the non-profit sector strongly preferred
