Job Description
The Senior Project Manager works closely with the Chief of Facilities and both Facilities teams at Myriad Gardens and Scissortail Park. The position administrates a Computerized Maintenance Management System (CMMS) for Preventative Maintenance (PM) program, a work order system, and acts as a dispatcher for the Facilities departments. This position will identify and create programs to monitor all necessary PM work, create work orders, and assign work to various departments. The position will coordinate the CMMS program for Scissortail Park Foundation and the Myriad Gardens Foundation. The position will act as liaison with the City of Oklahoma City in providing PM reports and work order reports monthly.
The Senior Project Manager will work with the maintenance, grounds, security, and custodial departments. The Senior Project Manager will include maintenance of all buildings/structures, water features, PM program on equipment, kitchen equipment upkeep, custodial services, vehicle/equipment maintenance, staff training, event set-up, and coordination for special events. Duties also include coordinating and contacting contractors for maintenance.
The Senior Project Manager will work on approved Capital, Facilities, and MAPs Funded projects as the main point of contact with General Contractors, Project Managers, MAPs and City of Oklahoma City employees. (MAPs projects are funded directly by the City of Oklahoma City to construct major civic improvement projects throughout Oklahoma City. Scissortail Park was constructed using MAPS funds.) The Senior Project Manager will provide clear communications with internal and external contacts on any given project, ensure deadlines are met, and document notes of all official meetings. The position will ensure invoices for projects are filled out properly for the internal Finance team in a timely manner.

Duties & Responsibilities
• Schedules all Preventative Maintenance (PM), repair, and upkeep of buildings and facilities equipment.
• Maintain PM database and ensure documentation is completed.
• Maintain PM program for all HVAC, pumps, valves, plumbing, electrical, mechanical, and equipment.
• Maintain PM for all kitchen equipment.
• Prioritizes work orders and PM schedules for equipment. Coordinate with other departments to arrange a timeline for completion and scheduling work assignments.
• Maintain all reports and documentation for the PM program.
• Responsible for the timely and accurate collection of equipment data.
• Review the manufacturer’s operation manuals to determine optimum frequency of maintenance.
• Monitors custodial care for buildings, facilities, grounds and properties.
• Coordinates for maintenance services provided by outside contractors.
• Work directly with Operations Leadership, Chief of Facilities, Department Directors, and outside contractors and Project Managers on various projects including but not limited to renovations, new constructions/installations, equipment rental, and storage allotment.
• Prepares and completes various forms, reports, correspondence, purchase orders, budget documents, plans, and presentations.
• Work with Finance to ensure all invoices are processed.
• Utilize software to resolve issues and optimize functionality for the programs.
• Provides liaison between Scissortail Park Foundation, Myriad Gardens Foundation, and City of Oklahoma City.
• Other duties as assigned.
Education and Experience
Education and/or Experience
• Work requires a minimal knowledge of maintenance equipment, administrative, or technical nature.
• Bachelor’s degree preferred.
• Minimum of 5 years of facilities, PM experience, work order, or administrative assistance.
Computer Equipment and Software Requirements
• Excellent word processing skills; must have expert-level skills with MS Office, especially Excel.
• Computerized Maintenance Management System (CMMS) experience preferred.
Skills and Abilities Required

• Strong attention to detail skills and the ability to work in a team environment.
• Must be highly articulate and diplomatic with strong written and verbal communications skills.
• Excellent organizational skills, with emphasis on priorities and goal setting
• Strong proficiency in Microsoft Word, Excel, PowerPoint and the ability to use work order and PM software (CMMS).
• Ability to communicate information to staff and visitors.
• Planning responsibilities include coordination with other departments and on time of completion of PM and work orders.
• Researches information for documents, compiles data, data entry, and has the overall responsibility for the PM program.
• Responsibility for monitoring budget expenditures for the department.

• Must be able to work both indoors and outdoors. Some locations visited during the course of executing job duties may not be wheelchair accessible.

• Must be able to bend, stoop and lift on occasions.
• Must be able to climb stairs and ladders.
• Must be able to walk from office building to Myriad Gardens and/or Scissortail Park facilities.
