Job Description
This position provides project coordination support for the Research & Conservation department and performs a full range of administrative tasks. The Research Coordinator assists with tracking budgets, grant reporting, invoicing, reimbursements and supply ordering. The Coordinator tracks internal and external deadlines for staff across the department. The Coordinator works closely with other Gardens departments serving as the main internal liaison. The Coordinator provides administrative support to outreach and internal events coordinating logisitcs around room reservations, catering, signage and set up details.
This individual is the internal “face” of the department and must have strong customer service skills, but frequently works independently on assigned projects requiring strong time management skills, ability to handle multiple and changing priorities and being detail oriented.

Salary
$22.26 – $27.83 – Per Hour
Duties & Responsibilities
- Tracks all departmental financials on a regular basis including managing department accounts and project budgets and generating monthly financial reports for operating and project budgets.
- Manages grant budgets, expense tracking, invoicing, and reporting details.
- Takes initiative to resolve accounting errors.
- Provides outstanding customer service to staff, volunteers and visitors of the department including, but not limited to, phone, in-person, written, verbal and electronic communication.
- Answers basic inquiries and coordinates responses when necessary.
- Supports department projects by working closely with staff, assisting in managing timelines, task completion, deadlines and communication including but not limited to organizing meetings and taking minutes and arranging all aspects, as requested, of travel related to projects and conferences.
- Creates and collaborates on written content and public-facing documents to share departmental projects and accomplishments.
- Supports the development of content for marketing and public relations.
- Coordinates maintenance of the Field Vehicle and any rental vehicles and uses appropriate facilities to wash and gas the vehicles when needed.
- Fosters relationships among, and liaises with, all the Gardens departments to share relevant department updates and be knowledgeable of the Gardens policies, procedures, projects, and programs.
- Assists in cross-departmental projects.
- Manages volunteer recruitment and onboarding for the department working in collaboration with Volunteer Services
- Supports lab protocols and safety training by maintaining Standard Operating Procedures and Chemical Hygiene Plan.
- Maintains office and laboratory inventory, equipment and cleanliness, and coordinates maintenance and repairs when necessary.
- Maintains up-to-date departmental policies and procedures.
- Works with all departments to assure highest quality experience for all the Gardens visitors and research collaborators.
- Maintains satisfactory working relationships with managers, co-workers, and others.
- Maintains a positive, helpful, and solution-oriented demeanor when responding to or serving members and visitors.
- Regular attendance at the worksite is required. As with all positions at Denver Botanic Gardens, the incumbent must be in good performance standing to be eligible for remote work. Remote work is at the discretion of management at all times. Occasional evening and weekend work on site is required to support events as needed.

Position Qualifications: Knowledge, Skills, and Abilities
- Must be able to manage multiple and changing priorities, be organized and detail oriented.
- Possess confidence in tracking and managing multiple budgets.
- Must have track record of sound judgment and decision-making in an administrative setting.
- Must be able to maintain confidentiality of information.
- Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
- Ability to maintain stability under pressure and able to deal well with stressful situations.
- Ability to be flexible and willing to modify plans, when necessary, throughout the day.
- Ability to work a flexible schedule, including evenings, weekends and/or holidays.
- Knowledge of Microsoft Suite products, specifically Word, Excel, Powerpoint, Outlook and Teams.
- Ability to work overtime as necessary.
- Must be a positive representative of the Gardens both internally and externally at all times.
- Must work with respect and cooperation at all times with fellow employees and the public.
- Must be committed to working safely at all times.
Education and Experience
- High school diploma / GED and/or combination of education and equivalent experience is required. Bachelor’s degree a plus.
- 5 years of experience in administration, project management or related field, preferably in a research setting.
- Experience with Blackbaud accounting software a plus.
- Enthusiasm for communicating science to various audiences a plus.
- Excellent communication skills, both written and spoken; and excellent human relations skills required.
- Fluency in Spanish and English is desirable.
- Position requires a valid driver’s license.
