Job Description

The Public Events Coordinator supports the planning and execution of logistical components of public events at the York Street location. Key responsibilities include executing assigned event shifts; coordinating event documentation, timelines, and logistics; supporting vendor, performer, volunteer, and partner coordination; tracking event expenses and revenues; and maintaining project plans under the direction of event leadership.

The Public Events Coordinator supports on-site event operations and completes assigned event coordination tasks under the direction of event leadership. This role requires flexibility to work varied schedules, including mornings, evenings, weekends, holidays, and on-call responsibilities throughout the year. While this position is primarily focused on events at the York Street location, the Public Events Coordinator may also provide logistical and on-site support for public events at the Chatfield Farms location as operational needs dictate.

Salary
$23.15 – $28.94 per hour

Denver Botanic Gardens is currently seeking a Full Time / Part Time / Seasonal Job Title in our Department Name Department! Read below to see if the requirements might be a good fit for you:

Duties & Responsibilities

Coordinates logistical and programmatic components of public events as assigned, including planning site layout details; creating event documents and diagrams; planning setup and teardown needs; and supporting on-site event operations.
Contributes to the execution of public events at the York Street location, which include Spring Plant Sale, Evenings al Fresco, Summer Concerts, Glow at the Gardens, and Blossoms of Light.
Coordinates communication with internal departments and external stakeholders under the direction of event leadership to support event execution.
Prepares agendas and materials for multi-department meetings; attends meetings and documents notes and action items as assigned.
Coordinates volunteer needs for assigned events, including developing volunteer position summaries, scheduling, assignments, and participation in volunteer trainings.
Supports vendor, performers, and event partners coordination by assisting with documentation, guidelines, scheduling, and communication under the direction of event leadership.
Sources and coordinates rental equipment and vendors to support event operations.
Prepares night-of-show documentation, binders, and operational materials and supports training of event execution teams prior to assigned events.
Coordinates contract security and local law enforcement logistics for assigned events, including submitting service requests, scheduling coverage, drafting agreements, and processing related invoices.
Coordinates with onsite concessionaire to facilitate their participation in events.
Coordinates staff and volunteer meals for event days.
Coordinates permit and liquor license applications, documentation, and compliance as assigned.
Tracks event expenses and revenues; processes invoices; assists with financial reconciliation and reporting; and maintains budget spreadsheets as needed.
Maintains event tasks and project plans in department project management software to track progress, instructions, deadlines, and status updates.
Occasionally travels offsite for departmental or event-related needs.
Completes assigned duties related to setup, staffing, operation, and teardown of public events at both York Street and Chatfield Farms as needed.
Evening and weekend work is required, including on-call responsibilities.
Regular attendance at the worksite may be required. As with all positions at Denver Botanic Gardens, the incumbent must be in good performance standing to be eligible for remote work. Remote work is at the discretion of management at all times.

Position Qualifications: Knowledge, Skills and Abilities

Ability to manage and organize multiple events and priorities at the same time in a fast-paced dynamic environment.
Must be a reliable self-starter with problem resolution skills.
Must be a self-motivated team player with the ability to meet deadlines and approach projects proactively.
Must be able to maintain confidentiality of information.
Ability to effectively present information and respond to questions from groups of managers, customers, and the public.
Ability to write reports, agendas, and meeting minutes.
Knowledge in basic accounting a plus.
Must be detail oriented and flexible.
Must be comfortable operating ladders, electric pallet jacks, and golf carts.
Must be able to lift and maneuver up to 50 pounds on an occasional basis.
Must be able to complete highly physical labor multiple days in a row outdoors in a variety of weather conditions.
Familiarity with Social Tables, Talech, Figma, and Wrike or other project management software preferred.
Must be comfortable working in an open office environment.
Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
Ability to maintain stability under pressure and able to deal well with stressful situations.
Ability to be flexible and willing to modify plans, when necessary, throughout the day.
Ability to work a flexible schedule, including evenings, weekends and/or holidays.
Knowledge of Microsoft Suite products, specifically Word, Excel and Outlook and Teams.
Ability to work overtime as necessary.
Must be a positive representative of the Gardens both internally and externally at all times.
Must work with respect and cooperation at all times with fellow employees and the public.
Must be committed to working safely at all times.
Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
Ability to maintain stability under pressure and able to deal well with stressful situations.
Ability to be flexible and willing to modify plans when necessary, throughout the day.
Ability to work a flexible schedule, including evenings, weekends and/or holidays.

Education and Experience

High school diploma / GED and/or combination of education and equivalent experience is required.
Minimum of 2 years of experience in public events is required.
Position requires a valid driver’s license.

Additional Information

Travel:

Up to 25% travel required. Requires the ability to travel to remote locations (or other Garden locations) where environment may vary significantly.
