Job Description

Position Summary: Reporting to the Manager of Membership & Donor Engagement, the Membership and Philanthropic Coordinator is responsible for supporting the daily operations of the Garden’s membership program and delivering an exceptional Member experience at every point of engagement. The position coordinates membership communications, fulfillment, data management, and operational processes that support membership growth, retention, and engagement.

The Garden’s mission is to conserve the plants and habitats of the tropics, cultivate beauty, offers knowledge, and inspire the protection of nature. The Garden has beautifully restored native habitats, cultivated gardens, walking trails, and public programming that offer education and enjoyment for people of all ages. Naples Botanical Garden is a 501(c)3 organization.

Duties & Responsibilities

Member Service & Communications

Deliver a responsive, professional, and welcoming experience for Members, donors, and prospective Members through phone, email, support tickets, and in-person interactions, documenting all constituent interactions accurately within Raiser’s Edge NXT, as they occur.
Manage and prioritize the Membership inbox, ensuring timely, accurate, and courteous responses.
Prepare Member correspondence as needed, using the Garden’s standard response templates when appropriate.
Create general and Member email lists for Marketing & Communications, Outlook mail merges, and Raiser’s Edge NXT.
Create and distribute physical and digital membership cards.
Support a visible membership presence in the Garden as needed and directed.
Membership Management Support

Support the achievement of annual membership revenue, retention, acquisition, and engagement goals through accurate execution of membership initiatives and close collaboration with internal teams.
Coordinate monthly membership renewal production by preparing data files, print materials, and digital assets while ensuring quality control throughout the renewal process.
Coordinate the Garden’s employee complimentary membership program.
Fulfill Gift of Membership certificate requests, including processing donation requests from Community Relations and other departments. Create gift memberships in Raiser’s Edge NXT when certificates are redeemed.
Member & Donor Engagement

Serve as the primary Membership representative for cross-departmental planning of Member and donor engagement events, ensuring a consistently exceptional Member experience while coordinating logistics and representing Membership during Production Team meetings.
Record Member event RSVPs accurately in Raiser’s Edge NXT, including entries from ACME point-of-sale reports, and send registrants any necessary follow-up details.
Support Garden-wide events, exhibitions, fundraising activities, and special initiatives that strengthen Member engagement and philanthropic relationships.
Perform other duties as assigned.

Education and Experience

Associate’s degree required; bachelor’s degree preferred; or 3–5 years of equivalent work experience.
Passion for providing exceptional hospitality and relationship-based customer service.
Nonprofit experience preferred.
Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail.
Comfortable learning new technology platforms and adapting to changing priorities.
Proficiency in Microsoft Office, especially Excel for data analysis and Word/Outlook for mail merges.
At least 1 year of Raiser’s Edge database entry or management experience preferred.
Experience with Monday.com, Cuseum, TripleSeat, or ACME Ticketing is a plus.
Excellent verbal and written communication skills, with the ability to listen, clarify, and respond effectively.
Strong customer service skills, including the ability to handle difficult situations with tact, respond promptly, and meet commitments.
Professional personal presentation.
Maintain confidentiality, listen respectfully, and remain composed under pressure.
Consistent attendance and punctuality, with coverage arranged during absences.
Follow instructions, respond to management direction, take responsibility for actions, and complete tasks on time or communicate an alternate plan.
Strong organizational and planning skills; uses time effectively.
Demonstrates initiative, reliability, and the ability to manage multiple tasks.
A pre-employment background check is required.
