Job Description
The Gift Administration Supervisor oversees the daily operations of the gift administration office for the Minnesota Landscape Arboretum. This position resolves complex operational processes and problems related to gift administration and supervises the full gift administration team (currently five team members.) The Gift Administration Supervisor serves as the team’s representative on the Advancement Leadership Team and works independently with minimal guidance and direction.

The Minnesota Landscape Arboretum is a community outreach unit of the University of Minnesota’s College of Food, Agriculture and Natural Resource Sciences. The Arboretum is located west of Minneapolis/St Paul and its 1,200 acres traverse the municipalities of Chaska, Chanhassen and Victoria. As a member of the American Public Garden Association and an accredited museum through the American Alliance of Museums, the Arboretum is a tremendous public asset. Duties & Responsibilities
Team Leadership and Supervision (50%)
● Serve on the Advancement leadership team and collaborate with Advancement and other colleagues.
● Interprets and adapts policies and procedures.
● Participates in program planning and development and provides recommendations based on significant knowledge of the unit’s objectives and activities.
● Supervise the day-to-day administrative support operations of the gift administration team.
● Reviews, evaluates and supports professional development related to the work and performance of team members.
● Hire, promote, discharge, assign work, reward, discipline and direct the work of team
employees.
● Develop the gift administration annual budget and forecast monthly.
● Manage gift administration volunteers.
● Proactively maintain a positive team environment.
Process Development and Quality Assurance (20%)
● Develop processes to ensure quality and quantity of gift administration tasks, including but not limited to gift entry (more than 31,000 entries is FY22), gift acknowledgment letters, reporting, data integrity projects, issue resolution, membership card fulfillment (more than 55,000 individual member cards.)
● Develops and establishes work procedures and standards to improve efficiency and effectiveness of assigned operations.
● Resolve operational problems which have a significant impact on the overall goals of the department.
● Ensure compliance with established standards.
● Finds solutions to routine technical or operational problems.
● Collaborate with Project and Database Manager on evaluation and resolution of CRM functionalities.
Strategic Planning (20%)
● Provide strategic direction and priorities for the gift administration team, relating the team’s strategy with the Advancement and Arboretum strategic plan.
Other (10%)
● Perform additional duties assigned by the supervisor
Education and Experience
REQUIRED QUALIFICATIONS (must be mentioned on application/resume)
● BA/BS degree in relevant field, plus two years of relevant experience OR six years of combination of education and experience
● Minimum of one year donor data entry experience
● Minimum of one year of supervisory experience
PREFERRED SKILLS
● Data analysis and reporting experience
● Process development experience
● Advanced CRM knowledge
● Proficiency in Asana or similar software
Additional Information
Pay Range: $59,987 – $81,037/yr, depending on education/qualifications/experience
