Job Description

The Development Operations & Database Coordinator ensures fundraising systems, data, and campaign execution run smoothly so leadership can focus on donor relationships and strategy. This role maintains accurate, reliable data; builds and improves processes within Raiser’s Edge NXT; and works collaboratively to support annual and long-term initiatives across the Development & Membership team.

Essential Duties & Responsibilities
The following reflects essential functions for this position:
● Maintain accurate and up-to-date donor records in Raiser’s Edge NXT, ensuring strong data integrity and consistency
● Build and manage lists, queries, and donor segmentation to support fundraising and membership efforts
● Generate routine reports and prepare documentation for the annual financial audit
● Develop and follow standard procedures for data entry, gift processing, and database management
● Manage and maintain donation and membership forms within Raiser’s Edge NXT
● Support fundraising campaigns by managing lists and executing email sends (audience, timing, deployment) in coordination with Marketing
● Make thank you calls, write handwritten thank yous, and other direct donor and member stewardship
● Coordinate donor meetings, including scheduling and preparing briefing notes
● Track donor engagement activities and next steps to support donor engagement
● Monitor timelines and deliverables to keep campaigns and projects on track
● Collaborate across departments to support effective data use, list management, and campaign execution
● Provide general administrative and operational support to the Development & Membership team

Skills & Qualifications
● Strong attention to detail and commitment to accuracy and high-quality work
● Excellent organizational, problem-solving, and analytical skills
● Ability to manage multiple tasks, prioritize effectively, and meet deadlines
● Comfortable working both independently and collaboratively across teams
● Commitment to maintaining donor confidentiality and data privacy
● Experience with databases, spreadsheets, and record-keeping systems preferred
● Familiarity with Microsoft Office, Google Workspace, and CRM systems (such as Raiser’s Edge NXT) a plus
● Clear and professional written and verbal communication skills

Job Share:
● Contribute to broader organizational goals through participation in cross-departmental and/or order fulfillment during peak times

Physical Requirements
● Ability to sit or stand at a computer screen for extended periods.
● Ability to handle seed packing, mailing assembly, etc.
