Job Description
The Development & Office Associate combines exceptional customer service with outstanding organizational skills. As the first point of contact for many visitors, donors, members, and volunteers, this position creates a welcoming experience while ensuring accurate and efficient administrative support across Wing Haven’s fundraising, education, outreach, operations, and volunteer functions. The position primarily supports the Development Team while also providing assistance to other areas. This allows for a better understanding of different Wing Haven teams and provides opportunities for growth within the organization.

Duties & Responsibilities
Essential Functions
Development:
Support the Development Director, Executive Director, and Development & Engagement Manager in achieving fundraising goals through accurate gift processing, donor database management, reporting, and administrative support.
Process gifts and payments received through online giving, mail, Clover point-of-sale (POS), and other sources; prepare donor acknowledgments, renewal letters, member communications, reports, and constituent mailings.
Oversee the integration between Wing Haven’s website, GiveCloud, and DonorPerfect, ensuring the accurate transfer of gifts, memberships, registrations, and constituent data while maintaining the integrity of fundraising records; reconcile online transactions and resolve data discrepancies.
Support annual fundraisers, membership campaigns, and donor cultivation events by assisting with invitation lists, mailings, registrations, RSVPs, event logistics, and on-site support.
Support the Executive Director and Board of Directors with meeting preparation, board materials, and other administrative tasks as assigned.
Office and Education:
Serve as an ambassador for Wing Haven by welcoming visitors, volunteers, board members, and callers, providing exceptional customer service and directing inquiries appropriately.
Manage the Wing Haven Google Calendar, including organizational activities, meetings, rentals, programs, and fundraising events.
Process and fulfill online orders, program registrations, event registrations, and other transactions.
Share responsibility for staffing the Wing Haven Admissions area approximately three hours per week.
Serve as the primary point of contact for office technology, including troubleshooting problems with computers, telephone systems, and other office equipment as requested by the Operations Manager.
Support the Operations Manager with office administration, including maintaining inventory and ordering of office supplies, household supplies and retail merchandise, and other administrative responsibilities as assigned.
Support Director of Education & Community Engagement with data management and reporting on education, outreach and volunteers.
Create public-facing signage for educational programs, meetings, events, wayfinding, and special announcements.
Education and Experience
Bachelor’s degree in business administration, nonprofit management, communications, education, or a related field, or an equivalent combination of education and experience.
Proven success in office administration, customer service, nonprofit administration, or a related field, or a demonstrated enthusiasm for learning and professional growth.
Exceptional customer service and interpersonal skills with a genuine commitment to creating a welcoming and positive experience for all visitors, donors, volunteers, and colleagues.
Excellent organizational, time management, and multitasking skills with strong attention to detail and accuracy.
Excellent written and verbal communication skills.
Proficiency with Microsoft Word, Excel and Google Workspace, with the aptitude to learn new software and technology platforms.
Experience with a donor CRM such as DonorPerfect, or the ability and willingness to quickly learn donor database systems.
Ability to work both independently and collaboratively in a fast-paced, team-oriented environment.
Demonstrated professionalism, discretion, and sound judgment in handling confidential information.
