The Plant Records Manager is responsible for all activities of the Plant Records office including maintaining the documentation of the Botanical Garden's Living Collections. This includes managing the Lionel Goldfrank III Catalog of the Living Collections (in BG-BASE), assisting with the development and updating of electronic and paper maps of the living collections, and assembling and organizing any documents that record the identity and history of the collections.

In addition, the Plant Records Manager is responsible for tracking plants used for exhibitions and temporary displays and creating and maintaining accession and display labels for the living collections, exhibitions, and seasonal displays. The Plant Records Manager is responsible for producing detailed reports and for providing information about the collection to NYBG staff in various divisions, visiting researchers, and the public. The Plant Records Manager works in collaboration with the horticulture curators to ensure accurate records for all living collections.

Specific Duties & Responsibilities:

  • Data management including accessioning, de-accessioning, nomenclature updates, phenology data, etc.
  • Inventories gardens and collections
  • Assists in the development and maintenance of maps of collections and gardens
  • Maintains accurate and up-to-date plant identification verifications and taxonomy
  • Coordinates all labeling for the living plant collections, including the production and installation of accession and display labels for the permanent collections, exhibitions, and seasonal displays
  • Maintains all records necessary to document the collections
  • Writes annual reports to funders describing accomplishments for department
  • Works closely with science staff, horticulture curators, interpretation staff, Plant Information staff, SOPH staff, as well as with outside scholars and professionals to accurately identify, name, and document the living collections
  • Works closely with staff in all departments of The New York Botanical Garden to provide information about the living collections to visitors, media, students, and other interested parties
  • Leads the Horticulture Division's efforts to make information about the living collections available to the public through the Garden's website, apps, and other electronic media
  • Other related work as required


  • Excellent computer skills including experience with BG-BASE
  • Experience with electronic mapping and surveying systems such as BG-Map, GPS, AutoCAD, or similar systems
  • Minimum of 2 years experience in public horticulture
  • Bachelor's degree required; degree or course work in botany, horticulture, environmental science, or other related field preferred
  • Extensive knowledge of plants, plant identification, nomenclature and taxonomy
  • Excellent organizational skills
  • Strong verbal and written communication skills
