Event Specialist (Part-time)

The Holden Arboretum

This individual coordinates private and public event activities primarily at Lantern Court to ensure that staff, volunteer, visitor, and vendor needs have been met.  S/he may be asked to perform other activities as necessary and/or assist at other facilities.  Workloads vary from week to week and season to season.  Scheduled hours are weekends and evenings.
Major Responsibilities
  • Ensures that the Lantern Court facilities and hospitality meets the visitor’s expectations.
  • Coordinates activities during assigned events by working with staff and outside vendors to ensure that functions are set-up and cleaned-up in a timely manner
  • Assists staff and on-site vendors during private rental and Holden events.    
  • Observes security and safety issues during events and communicates potential problems with the Holden Police Department.
  • Meets with prospective clients by appointment at the request of the Private Events Coordinator and fields requests for information from “drop-in” clients.
  • Assists with Lantern Court volunteer training.
  • Performs light housekeeping duties as required.    
  • Maintains inventory of cleaning and event supplies and notifies Private Events Coordinator when they need to be replenished.   
  • Notifies Private Events Coordinator of facilities/maintenance and horticulture work required for the Lantern Court house.  May be asked to adjust work hours to accommodate scheduling of repairs.
  • Provides support to private rentals and special events held at other Holden locations as needed.      
  • Assists Private Events Coordinator with inventory and control of alcohol.  
  • Schedule is weekend and evenings.  Position will average approximately 20 hours per week but will vary between in season and off season.   
  • Associate degree preferred.
  • Previous food & beverage experience a plus.
  • Previous event-planning experience a plus.
  • Must be organized and detail-oriented.
  • Outgoing, assertive and enthusiastic. 
  • Able to work independently and with minimal supervision. 
  • Proficiency of MS Office applications.
  • Lift and carry weight of up to 50 lbs.
  • Perform required tasks in all weather conditions.
